Marketing Intern

Job Summary
The Marketing intern is a part-time position in the Marketing Department. This dynamic team member assists in planning of promotional and fundraising events, promotion of our organization, marketing research and production of marketing collateral.

Specific Duties

  1. Assist in planning & logistical tasks for Doggie Dash & Dawdle, our signature event and largest fundraiser
  2. Promotion of our organization via social media
  3. Production of marketing materials
  4. Update & distribute weekly e-blasts to Animal Humane Adopters
  5. Planning & execution of outreach/awareness events
  6. Continual industry research to discover new/best methods to achieve our mission

Adoption Advisor, Part Time

Job Summary:  Counsel and educate potential adopters of shelter animals.  Accurately distribute information and answer questions regarding current Animal Humane events, programs, and shelter animals. Accept transfer, owner surrender, and stray animals into our care while working in the admissions department. Assistant in the behavior and foster department as requested.

RESPONSIBILITIES

  1. Maintain a high level of professionalism when representing Animal Humane to the general public in executing duties of counseling, educating and promoting programs and services; and in the adoption of shelter animals.
  2. Process incoming animals being surrendered to Animal Humane.  Accurately record all necessary information pertaining to the animal, including but not limited to:  history of animal, data entry, photographing, writing profiles, accurate kennel card information.
  3. Perform MYM assessments in a timely and accurate manner.
  4. Counsel potential adopters and guide the selection of an animal based on the household members, other resident animals, level of activity, physical environment, and other consideration factors.
  5. Educate the public and potential adopters about animal behavior and characteristics of which to be aware in dealing with shelter animals.
  6. Utilize sound marketing and public relations skills in addressing the public and promoting programs and services offered by the facility.
  7. Be responsible for accurate entry and operation of automated office equipment which includes but is not limited to:  Multi-line phone system, computers, copier, credit card system, fax machine, postage machine and printers.
  8. Humanely handle animals at all times.
  9. Maintain a safe and clean environment for the animals and the public at all times
  10. Observe animals for health and behavioral conditions, and communicate findings to supervisor.
  11. Assist satellite and mobile staff by preparing paperwork for animals.
  12. Follow through with customers until adoption is complete.
  13. Fulfill all tasks on daily checklist assigned by supervisor.
  14. Identify animal breeds, ages and sexes.
  15. Maintain accurate and current computer records on all animals.
  16. Perform other duties as assigned by Adoption Manager and Assistant Adoption Supervisor (e.g., special projects).

Accountant

JOB SUMMARY

The Accountant processes daily cash receipts, enters accounts payable and assists with the monthly close process.

SPECIFIC DUTIES

  • Record daily cash receipts
  • Process non taxable transaction certificates
  • Print checks for invoices due and employee reimbursements
  • Enter all incoming invoices into accounting system for payment
  • Reconcile monthly employee benefits invoices to payroll deductions
  • Prepare journal entries and analysis for month end close process
  • Answering departmental accounting questions
  • Work as a team member with all departments of Animal Humane
  • Other duties as directed by the Accounting Manager

JOB REQUIREMENTS

Bachelor degree in Accounting or Business Administration or equivalent experience with the ability to demonstrate a working knowledge of accounting practices, techniques and principles.  Must be proficient with Windows based computer applications, particularly Microsoft office, Excel, Outlook and Word programs.  Working knowledge of basic bookkeeping and familiarity with automated accounting software.

Veterinary Technician

Job Summary:  Supports to the Chief Veterinary Officer and veterinarians in the performance of surgical preparation, anesthesia induction, monitoring, recovery, examination and medication of small, shelter animals.  Direct clinic staff and volunteers in the duties associated with surgical reparation, clean up, recovery, and medication.

Eligibility Requirements:
High school graduate or equivalent and able to read and comprehend English language.  Minimum of one year medical, veterinary or animal technical training from an accredited school or private practice. 
Licensed technician preferred.

Knowledge, Skills, Abilities:

  • Ability to work with veterinarians in administering appropriate tests, medical care and medication
  • Knowledge of anesthetic and anesthesia monitoring techniques
  • Experienced in surgery, anesthetic recovery and follow up care
  • Ability to clean and pack surgical instruments and operate autoclave
  • Skills necessary to examine animals for health care issues
  • Ability to assist with euthanasia, vaccinations and other appropriate injections
  • Knowledge of ordering and maintaining inventory of medical supplies
  • Ability to handle multiple tasks in a fast-paced environment effectively

Veterinarian

Job Title:  Veterinarian

Job Summary:  Performs medical and surgical procedures and practices to the highest standards and in accordance with AHNM policy and procedures.  Provides guidance to the staff and volunteers assigned to the clinic.  Works with Chief Medical Officer in developing medical training for clinic and other appropriate staff and volunteers.

RESPONSIBILITIES

  1. Operate in an effective and productive veterinary medical team, advocating for pets, educating clients on all aspects of pet health, and ensuring a safe and effective clinic environment
  2. Perform spay and neuter procedures as assigned (frequency - daily)
  3. Perform other surgical procedures (frequency - as needed)
  4. Provide animal examinations and treatment as needed or assigned (frequency - daily)
  5. Provide appropriate and timely medical care and humane treatment to all shelter and program animals (frequency – daily)
  6. Diagnose, treat, control diseases and injuries in pets; perform surgery on pets; prescribe and administer drugs and vaccines as appropriate
  7. Provide guidance and medical training to appropriate staff, students and volunteers
  8. Work with the Chief Medical Officer in developing appropriate medical training programs for staff, students and volunteers
  9. Use and maintain control of drugs, medical supplies and other clinic supplies in accordance with AHA policy
  10. Adhere to AHA personnel and operational, policy and procedures
  11. Provide services and direct staff, students and volunteers during assignment at vaccination clinic (as assigned)
  12. Ensure the safety of pets, clients, team members and volunteers by using safe restraining techniques, following standard protocols, and maintaining clean, sterile and organized treatment areas, exam rooms, and labs
  13. Maintain updates and entries on computerized systems as required for operational purposes
  14. All other duties as assigned or requested

JOB REQUIREMENTS

Education - Must be a graduate of an accredited School of Veterinary Medicine and possess current licenses required by New Mexico law (Veterinary Board of Medicine and Board of Pharmacy)

Clinic Office Manager

Job Summary

Supervise, direct, plan and coordinate a variety of service functions that are principally work-supporting to the AHNM veterinary clinic team. These service functions include, but are not limited to, reception (visitor and telephone), maintenance of veterinary medical records, accounts maintenance, cash processing, procurement of administrative supplies and equipment, mail service, typing and word processing, data transcribing and retailing of sundry veterinary items.

Specific Duties

  • Direct receptionists in the performance of clerical and public contact duties facilitating the work of practitioners, animal health technicians and the clinic manager who directly or indirectly provide patient care.
  • Oversee the screening and assembly of veterinary records and files for active use, storage or disposal in accordance with established records control schedules.
  • Exercise a technical knowledge of products dispensed. Explain and demonstrate administration of medications, answer questions concerning products, record sales slips, make change and wrap/bag merchandise.
  • Provide or direct the provision of typing, word processing and data transcribing utilizing MS Word, Excel and practice management software (Cornerstone). Direct retrieval and entry of data.
  • Report controlled substance prescriptions as designated by the Board of Pharmacy weekly.
  • Input daily feral cat information into appropriate accounts and create invoices.
  • Track medical inventory purchased for other departments by entering information into Excel spreadsheet and submitting to finance. Track medical inventory for in-hospital use as well.
  • Coordinate orders for expendable office supplies with Executive Assistant.
  • Work with Volunteer Coordinator to schedule office and phone volunteers. Oversee training new volunteer staff on answering phones and working with the public.
  • Supervise end of day deposits and reporting as performed by reception staff.
  • Ensure End of Month and End of Year reports are completed. Work with clinic manager to ensure all data is adequately assembled.
  • Review invoices for staff pets to ensure all charges are entered correctly.
  • Transfer balances to invoices that are assigned to specific grants. Alert manager and CVO when grant balances are below a specific amount.
  • Print and mail vaccine reminder cards.
  • Assist clinic manager with end of drug year reporting.
  • Oversee vaccine clinic ensuring volunteers, clients and staff members perform necessary tasks. Interface with Marketing to verify date and time of vaccine clinic is correct.
  • Receive/oversee the receipt of telephone calls and visitors. Answer questions regarding admission policy, cancellation or re-scheduling of appointments, clinic hours and services.
  • Apply established guidelines concerning the release of information on patients' conditions.
  • Interview owners of animals new to AHNM veterinary clinic to obtain identifying information such as name, address, nature of illness/injury/boarding requirements/grooming needs, etc.
  • Initiate patient appointments for tests/x-rays. Explain necessary test preparation for animal(s) and record information such as date, type of exam and procedures required on appropriate patient records. Schedule and coordinate return appointments.
  • Review charts of patients being discharged from the hospital for completeness of information and make new appointments as required.
  • Supervise chart auditing process.
  • Perform/oversee the performance of posting daily business, posting hospital invoices, mailing statements, taking care of collection accounts and maintaining accounts receivable file and performing related tasks. Above cited duties and responsibilities are largely accomplished through data entry and retrieval through the practice management software and MS Excel. Utilize/modify programs to meet hospital needs.
  • Share responsibilities of logging out controlled drugs, ensuring drugs are distributed to appropriate parties.
  • Monitor accounts receivable and collections processes.
  • Direct on-the-job training to develop employee skills, advise employees of performance requirements and their progress in meeting those requirements, discuss corrective measures to improve performance and prepare appraisals. Resolve informal employee complaints, provide a general explanation of the nature and basis for hospital personnel policies and procedures; maintain effective employee-management communication.

Eligibility Requirements

  • Associates Degree in a related field such as communications, public relations, marketing or business is preferred.  Two years of general clerical experience.  Experience in lieu of a degree will be accepted.
  • Outstanding verbal and written communication skills, strong and proven administrative skills, with experience in Microsoft applications (Excel, Word, Outlook), accurate database management; ability to work with diverse groups and individuals; supply management, ability to work independently and interdependently; ability to meet deadlines; ability to creatively manage programs and provide continuous improvement to activities.  Knowledge of hospital procedures for assembling patient records and for recording a variety of veterinary practitioners' orders for patient activities, diet, test and treatments. Knowledge of spelling and meaning of commonly used veterinary terminology (e.g. terms of anatomy, physiology, diseases, tests, etc.). Skills in obtaining information from owners to complete records, in giving instructions for scheduling appointments and therapeutic activities and in relaying the practitioners' orders concerning animal care and treatment. Strong client service skills. Strong leadership, communication and motivation skills. High-energy and animal-friendly.  Veterinary experience and Cornerstone software experience is a plus.
